Important Information and Group Booking Conditions

1.     Deposit

A non-refundable deposit of $500 per person is required to secure your place on this tour.

2.     Final Payment

Final payment is due 70 days prior to departure. Bookings received within 70 days of departure must be paid in full at the time of booking.

3.     Payments

Payment can be made by cash, cheque, credit card, or direct deposit. Payments made by credit card attract the following fees –

AMERICAN EXPRESS/MASTERCARD/VISA CARD 1.8% of the amount charged on the card

DINERS CLUB 3% of the amount charged on the card

4.     Cancellation

Cancellation fees apply.

Cancellation more than 60 days before departure – loss of deposit

Cancellation between 60 days and 45 days before departure – 75% of tour cost

Cancellation 45 days or less before departure – 100% of tour cost

It is a requirement that you hold travel insurance that covers cancellation fees.

5.     Single travellers

A single supplement is payable except in the case where single travellers of the same gender agree to share in twin share rooms. Single travellers will be matched on a first come/first served basis. If it is not possible to pair single travellers the single supplement still applies.

6.     Travel Insurance

It is a requirement that all travellers participating in this tour hold travel insurance. The travel insurance policy must include unlimited cancellation cover. It is recommended you take the insurance out at the time of booking. Proof of insurance must be provided to Eastern Hill Travel at the time of final payment or 50 days before departure.

7.     Documentation

Eastern Hill Travel has taken every precaution to ensure that the itinerary, information, and details provided about this tour and all events during the tour are correct and accurate. A considerable amount of pre-planning, including site inspections, has been undertaken by Eastern Hill Travel to ensure that the details mentioned in the itinerary are correct. Every effort is made to ensure details are correct at the time of document distribution however no responsibility or liability is accepted for any errors, omissions, or alterations contained in either documentation or the itinerary.

8.     Price changes

Currency fluctuations, fuel surcharges, changes in airfares, and/or changes in tour, hotel, and transportation costs can happen without notice. It is our intention to advise any such changes in advance, however Eastern Hill Travel is not responsible for any price increase applied by any contracted tour operator, airline, hotel, transport provider, nor for any currency fluctuations. In the event of significant movements in currency exchange rates, Eastern Hill Travel reserves the right to apply a currency surcharge.

9.     Airlines and hotels

Hotels listed in the itinerary are correct at the time of publication but are subject to change without notice. Airline flight numbers and times are correct at the time of publication but are subject to change without notice.

10.  Amendment fees

Amendments made at the time of reservation incur no charge. Amendments made after payment of deposit, including name spelling corrections, may incur a charge of $50 plus any charges levied by an associated operator.

11.  Termination

No refunds will be applicable to any termination of any reservations or tours due to unforeseen circumstances once the tour has departed. Any such claims may be submitted to your travel insurance provider.

12.  Minimum group size

The tour is based on minimum 16 passengers. Should the group number fall below this Eastern Hill Travel reserves the right to make any appropriate adjustments, including cancellation. In the event the tour is cancelled by Eastern Hill Travel because the minimum passenger requirement has not been met, a full refund will apply.

13.  Unused services

There is no refund to any individual participant for unused portions of this tour, including transport services, entry fees, hotels, events, airline services or any other tour inclusion.

14.  Personal expenses

Eastern Hill Travel is not responsible for any personal expenses incurred by individual tour participants including but not limited to hotel mini-bar expenses, room service charges, entertainment not included in the tour cost, or any other expense not included in the tour cost.

15.  Responsibilities

Airline tickets, bookings, and passports must all be in the same name. It is the responsibility of all participants to ensure they hold a passport that is valid for 6 months after returning to Australia. It is the responsibility of all participants to ensure they hold any visas or additional documentation, including vaccination certificates, for all countries included in the tour including re-entry to Australia. It is the responsibility of any passenger to take whatever precaution is necessary to avoid any occurrence of Deep Vein Thrombosis. Eastern Hill Travel does not accept any liability for injury, damage, loss, delay, additional expenses, or inconvenience caused by force majeure or other events beyond the control of Eastern Hill Travel, or which are not preventable by reasonable due diligence on the part of Eastern Hill Travel. Eastern Hill Travel has exercised due care with the selection of reputable travel operators, such as airlines, hotels, tour companies, coach operators, and/or other suppliers. Some of these operators limit and exclude liability in respect of death, personal injury, delay and loss or damage to baggage.
